Proof of Accommodation

Proof of accommodation is, with few exceptions, a formal requirement of applications for all types of long-term visas, temporary residence permits, long-term residence permits and permanent residence permits.

Proof of accommodation can be submitted in several different forms:

  • a confirmation of accommodation,
  • a lease or sublease agreement,
  • proof of ownership of an apartment or house.

The specific requirements of these documents and the method of their submission may vary. The individual requirements are described in the relevant sections.

The accommodation property must be marked with a building number (in Czech “popisné číslo”), a registration number (in Czech “evidenční číslo”), or with a street number (in Czech “orientační číslo”), and must be designated for residential, accommodation, or recreational purposes under the Building Act.

There are several types of proofs of accommodation:

Confirmation of accommodation (form)

The Confirmation of Accommodation is a document in which your accommodation provider confirms that they are providing you with accommodation in Czechia. The form differs depending on whether it is issued by a natural person or a legal entity.

    • A written confirmation from the property owner or authorized user of the property must include their officially certified signature unless it is signed in person at the Department for Asylum and Migration Policy of the Ministry of the Interior.
      • This does not apply to applications for the registration certificate of EU citizens, the temporary residence permit for an EU citizen’s family member, or applications submitted electronically (see below for details).
    • The document proving the legal right to use the property must always be signed by the person listed as the owner in the publicly accessible online Land Register database.
      • If the property is co-owned, jointly owned by spouses, or is jointly rented, the signature of one of the co-owners, spouses, or co-tenants is sufficient.
      • The document must be signed by a person authorized or empowered to do so (e.g. managing director or proxy). The signature must comply with the rules in the Commercial Register.
        • The signature must be officially certified even if the confirmation bears the legal entity’s stamp. The use of a stamp is required if mandated by the Commercial Register.
    • If your accommodation providers are not the owners of the property but, for example, tenants or other authorized users, you must also submit a document proving the link between the owner and the accommodation provider (e.g. a lease agreement between the property owner and the tenant, a power of attorney, or consent from a housing cooperative).
    • If the Accommodation Confirmation is signed by the accommodation provider or another person based on a power of attorney, this authorization must be submitted in the procedure, and the property owner’s or authorized user’s signature on the power of attorney must be officially certified.
    • Confirmation of accommodation (natural person)
    • Confirmation of accommodation (legal person, school)
    • You can find information about cooperative housing in the Specifics of cooperative housing section below.

    Electronic confirmation of accommodation

An electronic confirmation of accommodation can be submitted via:

    • Electronic Mailing system (e-mail):
      • The e-mail address of the Ministry of the Interior is posta@mv.gov.cz.
      • In this case, the confirmation of accommodation must be signed by an authorised person with recognized electronic signature.
    • Data Box:
      • The confirmation must be submitted directly by the accommodation provider. An electronic signature is not required if the confirmation is sent from a natural person’s Data Box.

If you are submitting your application at a Czech Republic’s diplomatic mission abroad, this confirmation must be submitted in paper form only, not electronically.

If you are submitting the document electronically as a standalone submission, send it to the administrative authority only after the reference number of the application has been assigned. Include this number in the message accompanying the data mail message.

The confirmation of accommodation can be submitted electronically by the accommodation provider. The way it should be submitted depends on the purpose:

    1. If the provider submits the confirmation as part of an ongoing procedure and the address has already been reported to the Ministry of the Interior, no power of attorney is required.
    2. If the provider is notifying a change of address, a power of attorney is required. In this case, the notification form must also be submitted.
    3. If the provider submits the confirmation without being requested by the Ministry, as part of an ongoing procedure and the address has not yet been reported, a power of attorney and the notification form are required.
    4. If the foreigner national has been requested by the Ministry of the Interior to submit a confirmation of accommodation, the provider may submit it on their behalf. In this case, no power of attorney is required.

Lease agreement (proof of right to use an apartment or house)

A lease agreement sets out the terms for using a property and is concluded between you and the property owner.

      • An original or a certified copy of a valid lease agreement, accommodation agreement or an agreement with similar content.
        • If you are submitting a fixed-term agreement that has already expired, you must also provide current annex extending the contract.
        • Officially certified signatures are not required if the contract has been signed by both parties.
        • We recommend submitting officially certified copies, as the documents will be filed.
      • If you submit a lease agreement in which you are not listed as the tenant but are included as a member of the tenant’s household, no separate approval from the property owner for your accommodation is required.
      • If the lease agreement is in the name of your spouse or parent (for minor children under 18), no additional document or confirmation of consent from your spouse, parent, or from the owner is require. However, you must provide proof of your relationship to the tenant (e.g., marriage of birth certificate), unless you have already done so.
      • If you are a co-tenant, you do not need the consent of other co-tenants.

Sublease agreement (proof of right to use an apartment or house)

A sublease agreement defines the conditions under which you can use the property and is concluded between you and the tenant who is not the owner of the property.

      • An original or a certified copy of a valid sublease agreement or an agreement with similar content.
        • If you are submitting a fixed-term agreement that has already expired, you must also provide current annex extending the contract.
        • Officially certified signatures are not required if the contract has been signed by both parties.
        • We recommend submitting officially certified copies, as the documents will be filed.
      • If you are submitting a sublease agreement concluded between you and the tenant, you must also submit a valid lease agreement concluded between the property owner and the tenant, or another document proving this connection (e.g., a power of attorney authorizing the tenant to sublet the property). However, the property owner’s explicit consent to the sublease is not required.
      • If the connection between the property owner and the accommodation provider is proved by a power of attorney, the document must include the owner’s officially certified signature.
      • If you submit a sublease agreement in which you are not listed as a subtenant but are included as a member of the subtenant’s household, no separate approval from the property owner for your accommodation is required.
      • If the subtenant is your spouse or parent (for minor children under 18), no additional document or confirmation of consent from your spouse, parent, or the property owner is needed. In this case, you must provide proof of your relationship to the subtenant (e.g., marriage or birth certificate), unless you have already done so.

      Specifics of Cooperative Housing

If your accommodation provider is a member of a housing cooperative, you must submit a document proving the connection between this member and the cooperative together with the proof of accommodation (this can be a sublease agreement or a confirmation of accommodation form). Such a document may include:

      • a lease agreement between the member and the cooperative,
      • a certificate of the owner’s membership in the cooperative; or
      • the cooperative’s consent to provide accommodation.

If the accommodation provider’s membership in the cooperative is proven by a lease agreement or a confirmation from the cooperative, no additional consent is required.

Documents proving this connection must be submitted either as originals or certified copies. Signatures do not need to be officially verified.

Proof of ownership of a house or an apartment

      • An extract from the publicly accessible online Land Register database, or a statement confirming the ownership of the property, based on which the Ministry of the Interior will be able to verify the ownership.
      • If the ownership cannot be verified based on these documents, the Ministry may request the original or a certified copy of the extract from the Land Register, or a purchase agreement which includes a clause about the transfer of the ownership rights and registration of ownership rights in the Land Register.
      • If you are a co-owner of the property or you have joint ownership with your spouse, no additional consent from the other co-owners or from your spouse is required.
      • If the property is owned only by your spouse and you live together (a shared household), no statement of consent from your spouse is required. This also applies to your minor children.
